The Personal Assistant (PA) provides comprehensive day-to-day support to the Executive across business coordination, administration, well-being, expenses, travel, and daily arrangements. The PA ensures professional and administrative matters are handled efficiently, accurately, and confidentially, allowing the Executive to focus on key business priorities. The position requires a highly organized, proactive, and service-minded individual who can manage multiple priorities and coordinate effectively with internal and external stakeholders

🤖 What you will do

Executive Well-being & Daily Support

  • Coordinate office/workspace readiness and working facilities;
  • Arrange daily meals, refreshments, transportation, and routine requirements;
  • Coordinate medical appointments, health check-ups, insurance-related matters, and other well-being needs;
  • Purchase and arrange necessary personal or working items upon request;
  • Proactively handle day-to-day matters affecting the Executive’s schedule and working experience;

Business Expense & Administrative Management

  • Collect and maintain invoices, receipts, and supporting documents;
  • Coordinate vendor payments and recurring expenses;
  • Prepare and submit payment requests and expense documentation;
  • Track business card expenses and other assigned costs;
  • Coordinate with Finance, Accounting, vendors, and relevant teams to ensure accurate and timely payments;

Business & Executive Support

  • Coordinate meetings with internal teams, management, partners, and external stakeholders;
  • Manage schedules and work closely with relevant Secretariat/Executive teams;
  • Prepare meeting materials, documents, and logistics;
  • Take meeting notes and follow up on decisions, action items, and deadlines when required;
  • Coordinate business trips, including flights, accommodation, visa, insurance, transportation, and itineraries;
  • Support preparation and submission of forms, evaluations, registrations, and administrative documentation;
  • Coordinate internal/external activities and ad-hoc assignments requested by the Executive.

👾 What you will need

  • Bachelor’s degree in Business Administration, Management, Hospitality, Communications, or related disciplines;
  • Minimum 2–3 years of experience as Personal Assistant, Executive Assistant, Executive Secretary, Business Coordinator, or similar role;
  • Strong planning, coordination, multitasking, and follow-up skills;
  • Excellent attention to detail;
  • Good communication and stakeholder-management skills;
  • Good English communication skills;
  • Proficient in Microsoft Office / Google Workspace and common productivity tools;
  • Comfortable coordinating travel, bookings, vendors, payments, and administrative procedures;
  • Able to adapt quickly to changing priorities and urgent requests;
  • High level of integrity, discretion, and confidentiality.
